1. WORKDAY

It has been a while since the last Finance Monthly newsletter. That is due to the Finance Office staff being hard at work configuring the new financial system, Workday, which scheduled to go live on July 1. More information can be found here and will be coming soon.

2. AP Deadlines

Due to the Holiday break, December 25, 2023, through January 3, 2024, the final AP pay cycle for 2023 will be Wednesday, December 20th. All vouchers required to be processed by December 20th must be in the Accounts Payable inbox by Friday, December 15 at 4:00pm. Vouchers received by AP after this deadline will be paid in January 2024.

There will be no Accounts Payable pay cycles on December 27, 2023, or January 3, 2024.

The first AP pay cycle for 2024 will be on Wednesday, January 10th for vouchers received in the Accounts Payable inbox by Friday, January 5th at 4:00pm.

**Please keep in mind that Wesleyan’s payment terms determine when a payment is made.

3. Payroll

Payroll Deadlines
With the end of the year quickly approaching, we want to remind everyone of the deadlines for the final payroll(s) of the year.

Semi-Monthly/Monthly Paid Employees:
The deadline to submit additional pay request(s) and or pay adjustments to Payroll for the December 29th payroll is Noon on Thursday, December 14th. Submissions must be made through Human Resources (for staff) and Academic Affairs (for Faculty). Please also approve any pending time off requests for CY2023.

Hourly Paid Employees:
It is important that all Payroll changes, including all time worked for Students and Temps be reflected in the year in which the work was performed. The deadline for supervisors to review and approve timesheet(s) is Noon on Tuesday, December 26th. Please remind your employees to review and submit their timesheets after their last work shift for the week. Approving timesheets on time is critical to ensure accurate payroll processing and to help us plan and manage our resources effectively. If you will be on vacation, please be sure to set up a delegate in Workforce time as soon as possible to ensure your employee timesheets can be approved in a timely manner.

CT Minimum Wage Increase
This is a reminder that the Connecticut State minimum wage will increase from $15.00 per hour to $15.69 per hour on January 1, 2024.

Hiring managers within each department will need to end the current employment for their student workers making less than $15.69 per hour effective December 31st and re-hire the student at a rate equal to or above $15.69 effective January 1st. This can and should be done now, as most of the University will be on break on December 31st. It is imperative that hiring managers end date and re-hire students below minimum wage in the Student Employment System before going on winter break.

The funding to accommodate this increase has been allocated to unrestricted operating smartkeys (funds 100 and 104) excluding cost centers. The funding has been allocated based on the actual student wages spent in the prior two fiscal years (2022 and 2023). All restricted funds will need to fund this increase from their own resources.

4. Auxiliary Services

Semester end notes from Auxiliary Services:
• The Daniel Family Commons is closed between 12/7/23 and 1/25/24. The first day of service for Spring Semester will be Friday, January 26, 2024
• There will be no mail service available between 12/23 – 1/2/24
• The Usdan University Center will have limited hours from 12/18 – 12/23 and between 12/26 – 12/30 for student dining only. All other services are closed for the break. Usdan will reopen on 1/3/24. Please visit www.wesleyan.edu/usdan for specific hours.
