1. AMAZON PURCHASES
Other than a few designated exceptions, all Amazon purchases should be made through Onesource. There was a “Covid Exception” that temporarily allowed purchases to be made from personal accounts and charged to a University PCard. However, that exception will end on February 1 and all Amazon purchases should be made via OneSource in order to utilize the University’s Amazon Business account. If you feel you have a specific reason why this is not possible, please email Valerie Nye at vnye@wesleyan.edu. If you need training on the OneSource purchasing portal you can find it in Success at Wes.

2.INTERNATIONAL COMPENSATION AND TAXATION
W-8 FORMS
Forms W-8 must be dated by the vendor in MM-DD-YYYY format. Keep in mind that this format is quite unique to the US. Most countries use DD-MM-YYYY.  As this form is usually completed by foreign persons or corporations, our office routinely receives these with the wrong date format. It is very important that it be in MM-DD-YYYY in order to avoid confusion. If you receive a form W-8 from a vendor that is dated in a format other than MM-DD-YYYY, please request a corrected form. Forms submitted to Finance incorrectly will be returned for correction as we cannot legally make the change on your behalf.

3. RJ JULIA AND CAMPUS STORE PURCHASES
This is a reminder that you can no longer provide a smartkey at the time of purchase at our RJ Julia Bookstore. When you make a purchase at the bookstore, Lynette Vandlik will email you an invoice. This invoice can be paid by creating a voucher in WFS or by calling the bookstore directly and paying via pcard.

4. AP DEADLINES
Wesleyan will observe Martin Luther King day on Monday, January 16th. Accounts Payable vouchers needing to be processed in the pay cycle on Wednesday, January 18th are due in AP’s inbox by Thursday, January 12th at 4:00pm.
